Your data,handled with care

We ask only for what we need to answer you, we keep it in India on our own systems, and we never sell it. This page says exactly what we collect, why, and how you stay in control.

Who we are

SanctumCloud is one team working through two companies: SanctumCloud System Private Limited, registered in India, with its office at 1204, B1, Westgate Business Bay, Makarba, Ahmedabad 380051, Gujarat, India; and SanctumCloud LLC, registered in the Commonwealth of Virginia, United States ("SanctumCloud", "we", "us").

This website, www.sanctumcloud.com, and its forms are run by SanctumCloud System Private Limited, which decides why and how the personal data described on this page is used. Under India's Digital Personal Data Protection Act, 2023 it is the data fiduciary; under the EU and UK GDPR, the controller. When SanctumCloud LLC is the company you sign a contract with, it is responsible for the personal data of that engagement, and it follows this policy in the same way.

How we count visits without tracking you. Our visitor count uses no cookies and does not store your IP address. To tell one visitor from another on the same day, our system makes a one-way code from your IP address and browser, mixed with a secret that changes every day. The code cannot be turned back into your IP address, cannot follow you from one day to the next, and is deleted after two days.

Giving us your details is your choice. Without them we cannot book a call, answer a brief or consider an application.

What we never do

  • We never sell, rent or trade your personal data.
  • We use no advertising networks, remarketing or social media tracking pixels on this site.
  • We do not build profiles of you or make automated decisions about you.
  • We do not add you to the newsletter unless you join it yourself.

Our reasons in law

In India, we use your personal data with the consent you give when you send a form, and for the legitimate uses the Digital Personal Data Protection Act allows, such as following the law.

If you are in the European Union or the United Kingdom, our reasons are: steps you ask us to take before a contract (a call, a brief); our legitimate interest in replying to you, counting visits and keeping the site safe; your consent for the newsletter, which you can withdraw at any time; and our legal obligations.

Who helps us run the site

We share your data only with the service providers that run this site for us, and only for that purpose. Each of them may use it only on our instructions.

  • Amazon Web Services hosts this website, our systems and the files you send (such as a CV). Your data is stored in its Mumbai region, in India; the site's pages are delivered to you through its worldwide network.
  • Dhanest, our own business software, is where your booking, brief or application is kept and read by our team. We build and run it ourselves, on the Amazon Web Services systems above.
  • Resend delivers the emails our systems send: the confirmation you receive after you book a call, send a brief or apply for a role, the note that tells our team it has arrived, and the newsletter.
  • Google Fonts serves this site's typefaces. When a page loads them, Google receives your IP address and browser details, as with any website request. Google's own privacy policy applies to that request.

We may also share data when the law requires it, for example with a court or a regulator, and only as much as is required.

Data outside your country

Your data is stored in India. If you are outside India, sending us a form means your data travels to India. Some of the providers above may process data in other countries (for example, Resend in the United States); where they do, they protect it with safeguards the law recognises, such as standard contractual clauses.

How long we keep it

  • Visit counting codes: two days. The visit totals that remain are anonymous.
  • Bookings and briefs: for as long as we need them to talk to you and, if we work together, for the engagement and the period Indian tax and company law requires us to keep business records.
  • Job applications and CVs: while we are hiring for that role or a similar one. Ask us at any time and we delete yours.
  • Newsletter: until you unsubscribe.

When we no longer need it, we delete it or make it anonymous.

How we keep it safe

  • Every page and every form travels over an encrypted connection (HTTPS).
  • CVs are kept in private storage. Our team opens one through a link that works for ten minutes, then expires.
  • Only the people who need your data for the reason you sent it can see it, and every sign-in to our systems is personal.

Your rights

You can ask us to:

  • show you the personal data we hold about you and how we use it;
  • correct it, complete it or bring it up to date;
  • delete it;
  • stop using it where you gave consent (withdrawing consent is as easy as giving it);
  • nominate another person to use these rights for you if you are unable to (India).

If you are in the European Union or the United Kingdom, you can also ask us to restrict or stop using your data, and to give it to you in a portable form. If you live in the United States, for example in California or Virginia, you can ask to know, correct and delete your data, whichever state you live in; we do not sell personal data, and we do not share it for advertising.

Write to privacy@sanctumcloud.com with "Privacy request" in the subject. We may ask you to confirm who you are before we act, so that we never give your data to someone else.

If you are not happy with our answer, you can complain to the Data Protection Board of India, or to the data protection authority where you live.

Privacy contact and grievances

Every privacy question, request and complaint goes to our Grievance Officer at privacy@sanctumcloud.com, for both companies. We confirm that we have your message, and we answer within 30 days. If we need longer, for example to confirm who you are, we tell you why and by when.

Children

This website is for businesses and job seekers, not for children. We do not knowingly collect data from anyone under 18. If you believe a child has sent us their details, write to us and we will delete them.

Changes to this page

When we change this policy, we update the date at the top. If a change affects how we use data you already gave us, we say so on this page before it takes effect.
